Workflow Automation Triggers

Explore every available trigger and action in creavio's workflow automation engine.

creavio's automation engine lets you build "if this, then that" workflows that eliminate repetitive tasks. Every automation starts with a trigger — an event that kicks off the workflow — followed by one or more actions that execute automatically.

Available Triggers

Here is every trigger currently available in creavio:

  • New Inquiry Received: A lead submits any contact or inquiry form.
  • Booking Confirmed: A session is officially booked (contract signed + retainer paid).
  • Contract Signed: A client signs any contract.
  • Invoice Paid: Any invoice is paid in full.
  • Payment Failed: An automatic payment attempt fails.
  • Questionnaire Completed: A client finishes a pre-session questionnaire.
  • Gallery Published: You publish a gallery for a client.
  • Gallery Favorites Submitted: A client submits their favorite selections.
  • Session Date Approaching: A configurable number of days before a session (1, 2, 3, 7, 14, or 30 days).
  • Tag Added: A specific tag is applied to a client.
  • Lead Status Changed: A lead moves from one pipeline stage to another.

Available Actions

Each trigger can fire one or more of these actions:

  • Send Email: Send a template email to the client.
  • Send SMS: Send a text message to the client.
  • Add Tag: Apply a tag to the client's profile.
  • Remove Tag: Remove a tag from the client's profile.
  • Create Task: Add a to-do item to your task list.
  • Move Pipeline Stage: Advance the client to a new stage in your pipeline.
  • Send Internal Notification: Alert you or a team member via email or in-app notification.
  • Start Drip Sequence: Enroll the client in a multi-step email sequence.
  • Wait: Pause the workflow for a specified duration before the next action.

Building a Workflow

  1. Go to Automations > Workflows and click New Workflow.
  2. Select a trigger from the list above.
  3. Add one or more actions in sequence.
  4. Use conditions to branch the workflow (e.g., "If session type is Wedding, send wedding prep email; otherwise send portrait prep email").
  5. Name your workflow, enable it, and save.

Test every workflow with a dummy client before going live. Check the Automation Log to verify each step executed correctly and in the right order.
